I. POSITION INFORMATION

II. JOB SUMMARY:
Per company policy (FOM) and regulations , Evaluate the adequacy of airports with regard to navigation and ATS services, emergency provisions; evaluates the adequacy of airports with regard to Aircraft performance limitations; Evaluates the suitability of departure, destination and alternate airports with regard to the weather and NOTAM situation; Evaluates the adequacy and suitability of en-route alternate airports and en-route weather; Evaluates the technical status of the aircraft to be used for a flight with regard to flight planning restrictions; Suggests the flight level to be flown (by entering the respective information into the flight planning system); Determines the minimum fuel quantity for the route to be flown (manually or by flight planning system); Prepares Operational Flight Plans, File ATS Flight Plans and Prepares pre-flight briefing packages for flight crew; supports, brief and assist the Pilot in the safe conduct of each flight assigned to him.
III. KEY DUTIES & RESPONSIBILITIES:
- Upon assuming duty, updates himself/herself/ by taking full briefing on all aspects of the operation and log into the Dispatch Manager & MC systems.
- Shares responsibility with the captain during flight briefing and by signing the dispatch release on the safety and operational control of each flight under his/her responsibility.
- Authorizes, regulates and controls scheduled and non-scheduled charter, and VIP flights in accordance with Zambia Airways Civil Aviation, International regulation, Company Policy and Regulations to ensure safety and security of each flight.
- Analyzes and evaluates meteorological information to determine potential hazards to safety of each flight assigned to him.
- Checks and coordinates with load control for the final load information and update or amend as required to Load Control and Operating crew accordingly.
- Computes the amount of fuel required for the safe completion of each flight based on type of aircraft, distance of trip, maintenance limitations, limitations and conditions stated in the AOC, weather conditions and minimum fuel requirements prescribed by Flight Operations Manual and ECAA regulation.
- Prepares operational flight plans and Pilot briefing package containing information such as maximum allowable takeoff and landing weights, payload, weather reports, field conditions, NOTAMS and other informational components required for the safe completion of flight.
- Prepares and file ATS flight plan to respective air traffic control units for every flight he/she releases
- Prepares and signs the dispatch release which is the legal document providing authorization for a flight to depart.
- Delays, cancels or postpone flights if unsafe conditions threaten the safety of aircraft or passengers.
- Updates the pilot in command in-flight of significant changes to weather or flight plan and recommends flight plan alternates, such as changing course, altitude and, if required, en route landings in the interest of safety security and economy.
- Makes sure that all pertinent over flying and operating permits are available for each flight assigned to him.
- Continuously performs flight watch activity and evaluate status of flights and brings any anticipated operational problems to the attention of the IOCC core team.
- Handles all irregularities pertaining to dispatch in his/her shift.
- Periodically makes cockpit ride for purpose of enriching knowledge and validation of license.
- Suggests improvement ideas that increase the efficiency and effectiveness of flight dispatching activities.
- Advises technical data information to load Control at least 2 hours before departure and mainly containing DATE, FLT NO, A/C REGISTRATION, RAMP FUEL, TRIP FUEL, RTOW, and keep the record for at least 3 months.
- Checks and confirms wind data update in flight planning system at all time-(0000, 0600, 1200, and 1800 GRIB cycles).
- Declares emergency on any flight that is overdue by 30 minutes or as per the revised current regulation stipulated in Flight Dispatch Policy and Procedures manual. Notifies Supervisor Flight Dispatch, Duty Manager IOCC and concerned officials of the company in the event of aircraft accident and incident, and etc and acts in accordance with company Emergency Action Plan Manual and enters the information and the activities taken in the flight dispatch logbook.
- Obtains load information and generate OFP (operational flight plan), Weather information and NOTAM for every sector and send, including all necessary operational control documents to respective outstations 3 hours before flight schedule departure for their load planning and crew briefing.
- Logs down pertinent information affecting flight operation in the dispatch circular for shift hand over briefing, and all other irregularities shall be entered in the logbook.
- Identifies and reports hazard in operations by filling the confidential hazard reporting form.
- Adheres consistently to the airline safety and security policy and procedures through identification and mitigation of operational hazards and related safety & security risks and implements all precautionary actions / measures / processes; conduct work activity safety planning before work begins, during the actual work as conditions change, debriefing and hand over activities at the end of the work and shifting to other work when emergent work is encountered; make safety a priority and participate in safety briefings and meetings and take part in implementing safety initiatives, regularly perform safety inspections of work activities, facilities, equipment and vehicles and immediately quit and report to supervisors/co-workers/concerned safety office if unanticipated hazardous or unsafe conditions are encountered.
- As Zambia Airways Brand Ambassador, you are responsible to promote and adhere to the Brand Guidelines.
- Perform all other related duties that may be assigned from time to time by the Supervisor.
IV. QUALIFICATIONS AND EXPERIENCE:
- Minimum of BSC Degree or equivalent in Mathematics/Physics/Statistics or related field of studies with a Minimum of one year of experience in Airways or related areas
