Description
The Finance and Operations Assistant gives support to the Finance and Operations Manager in the financial and operational functions of the Private Enterprise Program Zambia.
Budgeting and Forecasting
- Offer support to the finance and operations manager in collating information to be included in the monthly, quarterly and annual expense budgets
Accounting
- Prepare disbursement vouchers and ensure that all support documents are attached.
- Maintain financial records , making sure that financial records are properly filed according to Nathan Associates London
- Carry out petty cash checks and reconciliations under the custodianship of the administrative assistant officer
- Reconciliation of all suppliers invoices and updating of the creditors account
- Monitor, analyse and reconcile staff advance accounts and make sure they are accounted for when they fall due.
- Perform duties required as Bank Agent
- Assist the Finance and Operations manager prepare for annual audit
Financial Reporting
- Support the finance and Operations Manager in updating and generating monthly Financial Expense Reports
- Scanning of all monthly payment vouchers and supporting documents to upload on drop box
Human Resources
- Update the leave tracker
- File all human resource related documents on individual staff files.
Buildings, vehicles and office supplies
- Support the Finance and Operations Manager in updating the fixed asset register and ensuring that all assets are duly labelled
- Ensure that all vehicle log books are up to date
- Assist with monitoring motor vehicle maintenance
- Monitor fuel account against actual receipts submitted.
Qualifications and Experience/Requirements
- Degree in Accountancy, ACCA II, CIMA II, ZICA/CA II or equivalent.
- Affiliate of ZICA, technician or licentiate and minimum of 2 years work experience.
- Minimum 2 years’ experience supporting UKAID/DFID-funded projects in an accountancy/finance role
- Demonstrated understanding of applicable finance-related DFID contracting regulations
- Experience working with international organizations or NGOs is an advantage
- Fluent in English – written and spoken
- Excellent computer skills – MS office (MS Word, Excel, PowerPoint, Outlook) and internet
