Description
The Administrative Assistant provides back office support to ensure the efficiency and smooth running of the PEPZ office.
Reception duties
- Answer the telephone and take messages or refer callers to others
- Receive and act as first point of contact for visitors.
- Manage correspondence and respond to general information requests
Organisational Support
- Plan Senior Management Team meeting and take and disseminate minutes
- Act as Personal Assistant to Team Leader and Deputy Team leader
- Make hotel and flight reservations, airport transfers, and arrange local transport.
- Manage photocopying, printing and document binding
- Arrange and book external meeting venues.
Office Management
- Manage the maintenance of office equipment
- Order office supplies manage stock levels and research new deals and suppliers.
- Manage drivers’ schedules and allocation of vehicles
- Manage project petty cash float
- Manage cleaning and maintenance staff to ensure that the office is kept clean and safe.
Qualifications and Experience
- Diploma in Business Administration or any business-related course. A Degree will be an added advantage;
- At least 3 years’ experience of Administrative work in a similar position;
- Must be proficient in Microsoft office, Excel, Word and Power point are a MUST;
- Proven track record of progressive administrative work.
