The FHI 360 Zambia Country currently invites applications from interested candidates on the USAID Open Doors Project. The USAID Open Doors Project is an activity providing comprehensive HIV prevention, care and treatment services to key populations in targeted provinces of Zambia with the goal of contributing to a reduction in new HIV infections, in alignment with Zambia’s National AIDS Strategic Framework (NASF), 2014 – 2016. Open Doors Project supports the U.S. President’s Emergency Plan for AIDS Relief (PEPFAR) as it works towards the goal of an AIDS-Free generation, in Zambia, as well as globally.

Position Title: Senior Administration Officer
Supervisor: Director-Finance and Administration
Location: Lusaka
Basic Function
The Senior Administrative Officer will be responsible for coordinating and managing administrative and logistical support to the FHI360 Zambia Country Office.
Duties and responsibilities:
Assist the Director Finance and Administration to coordinate all administrative, logistical and secretarial support services for the Country Office Take a leading role in organizing and coordinating the effective administrative functioning of the Country Office; provide guidance and supervision to key administrative support staff. Implement general office procedures and guidelines to ensure smooth operation of the office work and related systems Coordinate and monitor multiple and diverse work processes and activities to ensure management decisions and directives are properly carried out for the timely delivery of products. Oversee the proper filing of Country office records such as Annual reports, Quarterly reports and any other important project related documents and ensure that the assigned administrative assistant is updating the records and files regularly, for the Central file system. Provision of effective administrative support for the Country Office, as needed. Oversee the maintenance of the office facilities and equipment. Monitor service providers’ contractual obligation on a monthly basis. Liaison person for security services at the Central office and Expatriate staff residential Houses.
Qualifications and requirements
Successful candidate will have a bachelor’s degree in business administration other equivalent degree Minimum of 5 – 8 years of related experience in such areas as: procurement, logistics, record keeping and/or facilities management, preferably in an institution or an international development organization. Previous work experience within an NGO environment is also highly desirable. Working knowledge of USAID regulations.
