Description
Our client is in the development sector and they are looking to hire an Accounts Associate. The Accounts Associate will be responsible for processing and documenting payments and reconciling bank accounts, and any other accounting duties as required by the organisation. He/she will ensure the organization’s financial procedures are followed for payments at all times.
AREAS OF RESPONSIBILITY AND DUTIES
Prepare Cash and Cheque Payments
- Prepare and write cheques, and prepare cash for cash advances
- Upload bank transfer requisitions in the system for approval for transactions less than or equal to ZMW 25,000 unless in the absence of the account.
- Ensure the organization’s financial procedures are followed for all payments at all times
- Ensure that order forms and cash advances are fully approved and contain all pertinent back up documentation before issuing any payments
- Maintain project-specific paper files organised by date with all original payment request and documentation information
Reconcile Bank Account
- Reconcile the bank account on a weekly basis or more often as requested
Weekly Cash Forecasting
- Follow up weekly project/departmental fund projections with the Admin Assistants and make a payment plan for the week.
Audit and Miscellaneous
- Prepare for regular and ad hoc on-site audits that may be requested by UNC and/or funding agencies
- Conduct quarterly cash spot checks on Admin Assistants and staff responsible for managing project funds in various study sites and report results to the Accountant.
- Work with procurement to ensure that all organisational assets are tagged and appear on the asset register
- Associated general clerical duties such as maintaining general files, typing, data entry, opening mail, and completing and processing standard accounting and procurement forms.
- Perform related work as required
Communication
- Work collegially as part of the operations team.
- Communicate openly and honestly about issues, and/or problems that may arise.
- Actively participate in problem solving
SPECIAL SKILLS/COMPETENCES
- All candidates must have demonstrated excellent work experience in the use of Microsoft Office applications, Excel and Word
- The candidate should have experience working with internet platforms e.g., Adobe
- Ability to apply accounting terminology
- Good interpersonal, collaborative and problem-solving skills
- Must be honest, transparent, able to work long hours and pay attention to detail
EDUCATION AND EXPERIENCE
- 2nd level CA Zambia; 2nd level ACCA ; 2nd level CIMA or any equivalent
- Minimum of 2 years progressive work experience, preferably with an international organisation
- A professional certificate and affiliation to a relevant accounting professional body is a must
