Description
A consortium of four historically black colleges and universities (HBCU) (Howard, Meharry, Morehouse and Charles Drew) in the United States of America are working to support four high volume first level hospitals in Lusaka, Zambia (Matero, Chilenje, Kanyama and Chawama). The HBCU global health consortium project is designed to transform clinical HIV Practice to provide high quality, comprehensive, inter-professional care and treatment to people living with HIV.
The Administrative Assistant-Data Capture officer will work on the ground to ensure the DSD program is running smoothly and relevant data is captured at Chilenje, Kanyama or Chawama Hospital.
Essential roles and Responsibilities
S/He will be required to undertake appropriate tasks leading to the following deliverables and furnish evidence of completion of the same to Howard University HBCU Project field coordinator. Deliverables are to be discussed during meetings with field coordinator and documents provided in electronic format, and in hard copy format as necessary.
Specific tasks include but not limited to the following;
- Provide general administrative and clerical support including mailing, scanning, faxing and copying to regional office in Pretoria, south Africa
- Maintain electronic and hard copy filing system for patient records
- Open, sort and distribute incoming correspondence
- Perform data entry of patient records and scan documents
- Manage calendar for ART clients on the DSD model
- Assist in resolving any administrative problems
- Answer calls from clients regarding their review and ART pick up dates
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Schedule and coordinate meetings, appointments and training arrangements for HU.
- Maintain office supplies for HU
Skills and Qualification:
- Certificate in Business Administration or Accountancy (A Diploma would we an Added Advantage)
- 2+ Years of Hands on Administrative Support Experience
- Proficiency in MS Word, MS Excel And MS Outlook a Must
- Knowledge of Smartcare
- Knowledge of Operating Standard Office Equipment
- Excellent Communication Skills – Written and Verbal
- Ability to Prioritize Projects and Strong Problem-Solving Skills
- Good Research Skills and Attention to Detail
