COMACO is seeking a highly motivated, creative, and skills diverse person to fill the senior position called Project Officer who will report to the Chief Operations Officer for Agriculture and will be part of a team contributing to the growth and economic sustainability of the COMACO program and business in Zambia.
Terms of Reference for the Project Officer
The Project officer is a Senior farmer/conservation support staff and will be expected to set the highest work ethics and standards for the continued development of organization. The Project Officer will work with senior management to build efficiency and achieve the highest level of output possible and will have a daily responsibility of managing and resolving problems that could threaten project objectives. In general, the Project Officer will report to the Chief Operations Officer for Agriculture on all responsibilities listed below:
Location: The Project Officer will be based in Lusaka
Position: Project Officer is a full-time position which requires someone to work with extended normal working hours.
Qualifications
Required qualifications
- Experience: At least 5 years working as a Project Administrator.
- Education: At least a Bachelor Degree in the field of Development or Administration studies.
- IT software: Proficiency with the mainstream software of Microsoft Office;
- Language: Excellent written and spoken English with proof of writing skills, good communication and collaboration skills
- Valid Driving license
- Background in preparing proposals and submitting donor reports
- Hands on experience with solid organization and time management skills.
Important Additional Requirements
- Must be willing to work long hours with minimum supervision
- Must be prepared to travel to project sites in Eastern, Central and Muchinga Provinces.
Job Summary
Core responsibilities
- Review and approve operation budgets
- Coordinate staff in meeting work plan schedules
- Undertake special assignments as may be required by COO
- Oversee grant agreement obligations with regular compliance updates and verifications
- Prepare and provide documentation to internal team and key stakeholders.
- Maintain hard-copy inventory of all project documents, MOUs, reports and important letters.
- Maintain schedule of weekly meetings for COO and CEO for all meetings either are required to attend
- Facilitate visitor meetings
- Provide information as may be required by Communications Department.
- Engage with Finance Department on tracking project costs on key indicators
- Coordinate quarterly review of work plans for Project areas (East and West) and assist with efforts to keep work plan activities on schedule
- Assist with government liaison and building partnership relationships
- Ensure compliance of all MOUs COMACO may enter into with regards to non-business activities
- Liaise with relevant staff to ensure budget compliance and work plan activities are on schedule
- Coordinate with HR on timely review of staff performance and issues pertaining to contracts
- Assist with relevant documentation to meet required audit standards.
- Coordinate key procurements in liaison with the procurement officer, track expenses and predict future costs particularly for motor vehicle expenditures
