Chemonics International Inc., Contractor for USAID Global Health Supply Chain Program – Procurement and Supply Management (GHSC-PSM) ensures uninterrupted supplies of health commodities in support of USG-funded public health initiatives around the world. The project provides direct procurement and supply chain management support to the President’s Emergency Plan for AIDS Relief (PEPFAR), the President’s Malaria Initiative (PMI), and Population and Reproductive Health. In supporting USG-funded global health activities, PSM develops and manages a wide array of services for health commodity procurement and related systems strengthening technical assistance encompassing different elements of a comprehensive supply chain. The project seeks to recruit for the following position of:
Principal Duties and Responsibilities
- Receive, print and organize shipping pre-alerts for all shipments and avail to shipping officer for duty exemption and import permit processing;
- Receive, print and organize all invoices for payment processing by the shipping officer for Decentralized Procurement (DCP);
- Follow up with finance unit to ensure prompt vendor payments as per payment terms with vendors;
- Scan and share with respective procurement officers all proof of deliveries for DCP shipments for order closing;
- File on Zambia SharePoint all program procurement documents including but not limited to team meeting minutes, monthly and quarterly reports and all key team documentations;
- Provide clerical support to the program procurement unit, supporting procurement officers, procurement specialists and procurement manager with clerical functions;
- Exhibit Chemonics values and build culture of “Living our Values” within the team;
- Verify that USAID regulations, Chemonics policies, and quality management best practices are enforced consistently;
- Carry out additional responsibilities as may be assigned from time to time by the supervisor of record.
Minimum Qualifications, Experience and Competencies
- Certificate in clearing and forwarding, purchasing and supply, logistics or any related field and at least two (2) years of experience in logistics, shipping and forwarding; Diploma will be an advantage
- Must be an attention to detail-oriented person with good organizational skills;
- Strong representational and interpersonal skills;
- Good written and verbal communication, and presentation skills;
- Proficiency in common Microsoft packages such as Word and Excel and must be familiar with the use of databases;
- Strong initiative and self-motivation required, with a commitment to teamwork;
Period of Assignment
- This is a short-term assignment for a period not exceeding 5 months and the successful candidate should be available to start work immediately.
